SUMMARY
Under the supervision of the PDS Team Leads and Project Managers, the individual is responsible for providing support to Project Managers and Clients on project related duties, while also assisting with administrative needs and marketing material.  The Project Coordinator is responsible for implement priorities for the team that are aligned with the following priorities:

RESPONSIBILITIES AND OBJECTIVES:
  • Proactively seek opportunities to assist the project team in multiple areas in order to maintain aggressive schedules and provide superior client services. Examples of duties may include updating budget trackers, meeting minutes, creating project directories, organizing RFPs, etc.
  • Cultivate and maintain an excellent working relationship with all internal and external stakeholders
  • Setup new and close out existing projects in Project App (JLL’s online project portal). Input updates & cost saves as needed
  • Perform general administrative duties such as scheduling meetings and making travel arrangements
  • Participate in regular administrative assistant and business unit meetings
  • Onboard new PDS hires
  • Prepare and edit documents including JLL’s response to Request for Proposals, Letters of Intent, customer and prospect correspondence, reports,  etc. with direction from team
  • Create and edit presentations for prospect/client meetings using primarily Microsoft and Adobe products.
  • Other duties as assigned

  • Strong interpersonal and communication skills with an ability to interact with executive level external and internal clients
  • Ability to successfully communicate with architects, contractors, client’s representatives, and team members as needed
  • Familiar with working within established process to provide uniform deliverables and performance
  • Ability to regularly communicate analyzed data to client and team to achieve project goals
  • Ability to establish trust and report with key stakeholders
  • Strong proofreading and editing abilities
 
QUALIFICATIONS:
  • Two (2) year degree or equivalent business experience
  • Minimum two to three years’ experience in a team environment, preferably in the commercial real estate, design or construction industry
  • Must have had at least 1-2 years of experience supporting multiple people
  • Strong organizational, interpersonal and communication skills
  • Strong ability to multi-task with multiple projects and deadlines in a “high-volume” fast paced environment
  • Strong proofreading and editing abilities
  • Resourceful self-starter; pressure-durable
  • High level of proficiency and working knowledge of Microsoft Word, Excel, Power Point, Outlook, Microsoft Projects.
  • High level of proficiency with Adobe products and CRM databases a plus
