Position Summary:

The Compliance Admin is a collaborative supporter and a member of the Operations Team with the objective of providing world class operational service delivery to the client’s portfolio and customers.  The position requires a clear communicator, both verbal and written, organized with effective time management skills, demonstrating a willingness to learn and adapt, with the highest standards of behavior, collaborative manner and work ethic.  Candidate must have the proven ability to work without direct day to day supervision.
 
Position is based in Snoqualmie, WA.
 
Responsibilities:

  • Coordinate the data collection of records and permitting as necessary for operational compliance per local and federal regulations.  Including but not limited to environmental reporting; recycling, refrigerant usage, hazardous materials, Fuel storage/usage, etc.
  • Maintain documentation and notification of compliance obligations using client web based tool.
  • Prepare and submit Compliance reports to the client’s risk and compliance group.
  • Support the client’s Risk and Compliance group in insurance, regulatory, or corporate audits.
  • Ensure that EH&S accidents, injuries, near misses/good catches, and other events are captured and the data is managed and reported.  Support the OSHA 301/300 and SPCC recordkeeping requirements for the account and be the Account’s Administrator for the JLL AIMS (Accident & Incident Management System)
  • Track the tenancy and operational permits for assigned client portfolio.  Provide a monthly summary report of permit status.
  • Support the client in the process of permit payment.
  • Track adherence of vendor Certificate of Insurance (COI) and EHS contractual requirements.
  • Assist the account team in meeting or exceeding site KPIs; Monitor SLAs monthly to identify potential off track areas and plan corrective actions accordingly.
  • Demonstrate strong collaboration and teamwork with account wide team and proactively share and reapply all learning’s, successes and best practices.
  • Cultivate and maintain a positive working relationship with client representatives and service providers.
  • Self starter, ability to research compliance needs to result a solution of compliance gap. 
Minimum Requirements:
  • Associate’s degree or equivalent work experience in environmental science, safety management, information systems, business administration or related field.
  • Minimum of two years of industry experience required either in the corporate environment, third party service provider or as a consultant.
  • Document management experience
  • Knowledge of real estate, telecommunications, and building systems helpful.
  • Strong organizational and management skills.
  • Excellent communication skills.
  • High level skill with Microsoft Office (Excel, Word, PPT) required.
  • Experience with other data and statistical applications are a plus (PowerPivot, PowerView, Sigma Excel, SQL, VBA)
