Receptionist

Position Summary:

Overview: This position is responsible for achieving the expected level of service delivery as described in the Service Level Agreements and measured by the Key Performance Indicators at all assigned facilities within a geographic area. Additionally, the expected levels of service delivery must be achieved at the lowest possible cost, minimally within the prescribed budget for each facility.
 
Locations: VMware Bellevue, Wa Field Office
 
Main Roles and Responsibilities:

  • Greet visitors and assist with contacting their host/hostesses. Ensure building specific access processes and policies are enforced
  • Answer incoming phone calls, transfer as appropriate using the routing guide maintained by the receptionist team
  • Respond to inquiries from internal and external customers regarding such information as: locations of offices/rooms, local services and amenities;
  • Maintain, issue and track temporary access badges (building and suite badges)
  • Follow safety and security protocol at all times, working closely with security staff
  • Assist employees with conference room reservations
  • Receive incoming accountable deliveries (e.g., Fed Ex, UPS etc.). Facilitate the distribution to the proper department, locations and customers
  • Assist new hires on New Hire Orientation days – this includes taking photos, processing I-9 forms, ordering new employee badges and building access badges and arranging for parking cards or Orca cards
  • Perform various administrative projects as requested, including, but not limited to: stuffing envelopes, data entry, receiving and distributing faxes, attendance records & other related office support duties
  • Act as ambassador for Real Estate & Workplace, using appropriate etiquette and professionalism at all times
  • Maintain the front desk and lobby areas in a neat and organized manner, in compliance with all governing codes and regulations
  • Arrange for local taxi service and courier pick-ups, as requested
  • Ordering weekly lunches and keeping those orders within the set budget
  • Assisting with other Quality of Life events
 
Qualifications: Knowledge, skills, abilities
  • Demonstrated proficiency with all applicable software packages, including, but not limited to: MS Windows and MS Office, including MS Word, Excel, Outlook, and PowerPoint
  • Ability to communicate effectively with employees and visitors as necessary
  • Ability to collect data, keep accurate records, and prepare reports
  • Ability to organize and prioritize multiple tasks
  • Must have a positive, professional attitude
  • Must be detail oriented
  • Must be able to work well independently with an ability to work collaboratively with others
